Can I import my existing policy data into Commission Tracker?

Yes. Commission Tracker includes a powerful import utility designed to help you migrate your data from spreadsheets or other systems directly into our database.

Whether you are moving from an Excel-based tracking system or another CRM, you can avoid manual data entry by using the Importing Policies feature.

How the Import Process Works

The import program is designed to recognize your data and map it to the correct fields within Commission Tracker.

  1. Prepare Your Data: You will need your policy information in a standard format (such as .csv or .xlsx).
  2. Map Your Fields: During the import, you will tell the software which column in your spreadsheet corresponds to the Client Name, Policy Number, Carrier, and Effective Date.
  3. Review and Validate: The system allows you to preview the data before it is permanently added to your database to ensure accuracy.

What Data Can Be Imported?

You can import a wide range of information, including: * Client Details: Names, addresses, and contact information. * Policy Specifics: Policy numbers, carrier names, and plan types. * Dates: Effective dates, renewal dates, and expiration dates. * Financial Estimates: Estimated premiums and expected commissions.

Why Use the Import Utility?

  • Save Time: Import hundreds or thousands of policies in minutes rather than hours or days.
  • Reduce Errors: Eliminate the "human error" risk associated with re-typing data.
  • Immediate Reporting: Once your data is imported, you can immediately begin running a Book of Business report to see the value of your agency.

What Happens in the Background

  1. Deduplication: The software checks for existing clients to prevent creating duplicate records.
  2. Table Integration: Imported carriers and plan types are automatically added to your system tables if they don't already exist.
  3. Term Creation: The system automatically creates the "Current Term" for each policy based on the dates provided in your file.

Troubleshooting

Q: My spreadsheet has columns that don't match Commission Tracker exactly. Is that okay? A: Yes. The import tool is flexible. You will have the opportunity to map your custom column headers to the software's internal fields during the Importing Policies process.

Q: Can I import my commission payment history too? A: While this specific tool is for Policy data, we have separate tools for Importing Carrier Statements to handle your financial history.
