Getting Started with Commission Tracker
This guide provides a verified roadmap for setting up your agency's database. Follow these steps in order to ensure your foundational data is correctly configured before you begin processing revenue.
Part 1: Initial System Setup
Before entering production data, configure these core tables. These act as the "Master Lists" that the system uses to validate your commissions.
Agency Foundation
- Create New Carrier — Add the insurance providers you represent.
- Create Carrier Commission Tables — Define how the carriers pay the agency (e.g., Flat Carrier Table).
- Create New Policy Type — Establish your lines of business (Health, Life, etc.).
- Create New Client — Set up your primary policyholders.
Agent & Producer Setup
- Create New Agent — Add your producers and configure the House Account.
- Carrier Table Agent Splits — Define how your agents are paid from the carrier revenue.
Part 2: Building Your Database
Once your foundation is ready, use these methods to transition from an empty database to a fully populated system.
Option 1: Automated Policy Creation (Recommended)
If you have your carrier data in Excel, the system can build your database for you.
- Import Carrier Statement (ICS) — Upload your statement and map the columns.
- Create Missing Policies — The system identifies unknown policies on the statement and allows you to create them in bulk.
- EXAMPLE — Import Carrier Statement — Follow this step-by-step walkthrough of the entire process.
Option 2: Manual Entry
For small books of business or testing purposes:
- Create New Policy — Manually enter policy headers and term data.
- Receive Payment Button — Post a single commission check directly to a policy.
Option 3: Bulk Policy Migration
- Import Policies — If you are moving from another CRM, use our Excel template to import your entire book of business at once.
Part 3: Navigating the System
Learn how to manage and find your data once it has been entered:
- Policy Search — Use advanced filters to find specific clients or policies.
- Policy Terms — Understand how term numbers affect commission calculations.
- Status Bar — Track system messages and background tasks.
Important Configuration Note
Before you begin, determine how the system should handle matching identifiers:
Policy Configuration
Duplicate Policy Numbers: Decide if you will allow identical policy numbers across different carriers or policy types.
