Update Payment Tables

Update Payment Tables is a maintenance utility under the Tools Menu that synchronizes your policies with their current carrier commission structures. Run it after changing commission rates to ensure your reports reflect accurate expected values.


πŸ’‘ Why Use This

Use this utility when:

  • After changing a Carrier Commission Table β€” New rates are not applied to existing policies automatically. Running this utility pushes the updated rates to all policies assigned to that table.
  • Routine maintenance β€” Run at least twice a year to keep financial calculations optimized and prevent reporting discrepancies.
  • Resolving Undefined status β€” If the Policy Error Report shows policies with Undefined status, running this utility forces the system to evaluate and update them.

  1. Navigate to Tools β†’ Update Payment Tables.
  2. Review the options on screen (if any filters are available, select the scope you want to update).
  3. Click Run or Update.

Duration

This utility can take up to 60 minutes to complete depending on your database size. Plan to run it during off-peak hours.

What This Utility Does

The system scans all policies and re-links each one to the current version of its assigned Carrier Commission Table. It recalculates expected commission values and updates the policy error status (Valid, Error, or Undefined) for use in the Policy Error Report and Accounts Receivable report.


πŸ”§ Troubleshooting

The utility appears to be running but is taking a very long time. This is normal for large databases β€” the process can take up to 60 minutes. Do not close the application or interrupt the process. Let it complete before running reports.

After running the utility, a policy still shows as Undefined in the Policy Error Report. Refresh the Policy Error Report after the utility finishes. If the policy remains Undefined, check that it has a Carrier Commission Table or Commission Per Payment value assigned. Policies with no expected commission configuration cannot be evaluated.

My A/R report totals changed after running this utility. This is expected if you recently updated a Carrier Commission Table. The utility applied the new rates to active policies, which recalculated their expected commission values. Verify the new rates match your carrier contracts.
