Deleted Policy Log

The Deleted Policy Log, found under the Tools Menu, is a master audit trail for every policy permanently removed from your database. Unlike the Deleted Payments screen β€” which tracks individual transactions β€” this log records the removal of entire policy records, identifying the user and workstation responsible for each deletion.

What the Log Shows

The grid displays a master list of all removed policy records with the following details:

  • Computer Name β€” The specific RDP or local workstation used.
  • User β€” The Commission Tracker login responsible for the deletion.
  • Policy Details β€” The Client and Policy Number that were removed.

Auditing Financial Impact

When a policy is deleted, all associated payments and agent payouts are also removed. The log lets you drill into those lost records.

If a deleted policy contained payment history, the Deleted Payments button is highlighted in red. Clicking it opens a detailed grid of every payment that was purged, along with the specific user responsible for those entries.

Agent Commissions (Splits)

If the Agent Commissions button is red, commissions had already been calculated and paid to agents for that policy. Clicking it reveals which agents were affected and the exact dollar amounts removed from their historical earnings.

Key Considerations

  • Read-only record β€” This log is a permanent audit record and cannot be edited or cleared. It ensures data integrity is maintained even after records are removed.
  • Recovery β€” A deleted policy cannot be restored directly from this screen. To recover deleted data, contact support to discuss database restore options. The Delete Policies utility creates an automatic backup before each deletion run.
  • Agent Advances β€” This log also tracks any unearned Agent Advances that were associated with deleted policies.

πŸ”§ Troubleshooting

A policy I need is showing in the log as deleted. The policy cannot be restored from this screen. Contact support@commission-tracker.com immediately β€” the technical team may be able to restore a pre-deletion backup if the deletion was recent.

The Deleted Payments and Agent Commissions buttons are not red. This means the deleted policy had no payment history or agent commission records at the time of deletion. There is no financial impact to audit for that record.

I need to find which user deleted a specific policy. Search or sort the log by Client Name or Policy Number to locate the record. The User column identifies the Commission Tracker login that performed the deletion.
