Importing Policies
Commission Tracker provides a streamlined utility for importing new policies and agent commission splits, offering an efficient alternative to manual data entry. The Import Policies program allows you to convert raw data from an Excel file into verified policy records through a systematic mapping and validation process.
Core Process and Grid Logic
The interface is divided into two primary sections to help you manage the conversion of data:

Lower Grid: Displays the raw, unformatted data from your imported Excel file.

Upper Grid: Displays "pending policies". Data is copied here from the lower grid based on your defined map.

Conversion: Once a row in the upper grid is validated and contains no errors, it can be converted into a real policy in the system.
Step-by-Step Policy Creation
- Select a File for Import: Navigate to Import > Import Policies (NEW VERSION) and select your Excel file. You can contact support at support@commission-tracker.com for a standardized template.
- Policy Import Preview: Use the Preview screen to choose a specific worksheet and verify the file content before proceeding.
- Apply a Map: Select an existing map or create a new one to determine which Excel columns populate the required policy fields in the upper grid.
- Edit and Validate: Review the Errors column in the upper grid. You can edit policies individually by double-clicking or in bulk using CTRL-Click to fix missing or invalid data.
- Edit Agent Splits (Optional): If you require policy-specific splits rather than standard carrier tables, use the Edit Agent Splits utility to define custom payout structures.
- Create Policies: Select the valid pending policies and click Create Policies. Successfully created policies are removed from the upper grid and added to your permanent database.
Grid Color Coding
| Color | Location | Meaning |

| Green | Upper Grid | Indicates new data (like a new Client) that will be created along with the policy. |
| Yellow | Lower Grid | Highlights the raw data row corresponding to the selected pending policy in the upper grid. |
| Light Blue | Lower Grid | Identifies columns that have been manually mapped by the user. |
| Grey | Lower Grid | Identifies columns mapped by the system that cannot be changed by the user. |
Toolbar Navigation

- Mapping Data: Configure how raw data is read.
- Edit Policies (F2): Manually update pending policy details.
- Edit Agent Splits (F3): Define custom commission tables.
- Delete: Remove the pending policy row(s) to prevent accidental creation.
- Un-Delete: Restores all deleted pending policies.
- Restore: Returns created or deleted policies to the upper grid without losing manual edits.
- Reset: Restores the grid but clears all manual edits and mapped data.
- ReValidate: Refreshes the "Errors" column to check for current validity.
- Create: Finalizes the selected pending policies into the system.
Tips for Success
- Multi-Select: Use standard Windows controls (CTRL-Click or SHIFT-Click) to bulk-edit fields like "Policy Type" for many policies at once.
- Customization: You can rearrange columns in the upper grid by dragging the headings or sort them by clicking the headings.
- Error Checking: Always click the down arrow in the Errors column to see the full list of missing requirements for a pending policy.
